The queue outside your event is the first experience your audience has, and it sets the tone for everything that follows. A well-managed entry process feels effortless. A poorly managed one creates frustration, safety risks, and a negative impression that lingers throughout the event.
Managing entry flow is about more than just scanning tickets quickly. It involves queue design, staffing, communication, and understanding how crowds behave. Here is how to get it right.
Calculate your entry capacity
Before designing your entry system, you need to know how many people you need to process and in what timeframe. If your event has a 1,000 capacity and doors open at 7pm with the main act at 8pm, you should plan for at least 70% of your audience arriving in the first 45 minutes.
A single ticket scanning point with a competent operator can process roughly 300 to 400 people per hour using QR code scanning. Bag searches add time, reducing throughput to about 200 people per hour per lane. If your event requires ID checks or wristband exchanges, throughput drops further.
Work backwards from your expected arrival pattern to determine how many entry lanes you need. For the example above, you need to process 700 people in 45 minutes. With bag checks, that means at least six entry lanes operating simultaneously.
Design your queue layout
The physical layout of your queue affects both safety and the perception of waiting time. Key principles include:
- Serpentine queues -- Winding queues feel shorter than straight ones because people can see movement and progress. Use barrier tape or retractable posts to create a serpentine layout
- Clear sightlines to the entrance -- People tolerate queuing better when they can see where they are heading
- Width -- Queue lanes should be at least 1.2 metres wide to allow comfortable standing and to comply with accessibility requirements
- Shelter -- For outdoor queues, any form of cover from rain or sun reduces complaints and improves the experience
- Distance from roads -- Queues must never spill onto public highways. If your venue is on a busy road, plan your queue layout so it stays within your site boundary
Separate your entry streams
Not everyone should go through the same queue. Separating entry streams reduces overall wait times and improves the experience for specific groups.
General admission
This is your main queue. It should have the most lanes and the most staff. Position clear signage well before the queue entrance so people know where to go.
VIP and guest list
VIP ticket holders expect faster entry. A dedicated VIP lane with its own scanning point avoids the situation where someone who paid a premium is stuck in the same queue as general admission. Keep the VIP lane visually separate but do not make it so prominent that it creates resentment among general admission customers.
Accessible entry
There must be an accessible entry point that avoids steps, narrow gaps, and long standing queues. This is both a legal requirement under the Equality Act 2010 and basic good practice. Staff this lane with someone who has been briefed on accessibility needs and can assist with wheelchair access, companion tickets, and any specific requirements.
Will call and collection
If some attendees need to collect tickets or wristbands on arrival, give them a separate point. Mixing collection with scanning slows everything down.
Ticket scanning best practices
Modern ticketing platforms use QR codes that can be scanned with a smartphone app. This is faster and more reliable than paper ticket checks. A few tips for smooth scanning:
- Use dedicated devices -- Staff phones can receive calls, notifications, or run out of battery. If possible, use dedicated scanning devices or phones in aeroplane mode with scanning app only
- Adjust screen brightness -- Ask attendees to turn up their phone screen brightness before reaching the scanner. Dim screens on sunny days cause scanning delays
- Have a backup plan -- What happens when someone's phone is dead, their QR code will not load, or your scanner loses connectivity? Have a manual lookup process ready using a tablet with the guest list
- Test beforehand -- Scan test tickets before doors open to confirm everything is working. Check that the scanning app is rejecting duplicate scans correctly
Staffing your entry points
Each entry lane typically needs at least two people: one scanning tickets and one managing the queue flow. For events with bag searches, add a third person per lane. Position a senior staff member or team leader at the entry area who can make decisions on edge cases: expired tickets, name mismatches, group arrivals, or technical problems.
Brief all entry staff before doors open. They should know the event layout so they can give basic directions, understand the different ticket types, and know the protocol for refused entry. Staff should be calm, friendly, and efficient. The entry team are the face of your event.
Managing peak arrival
Most events experience a peak arrival period. The challenge is that this peak is predictable but cannot be eliminated. People arrive when it suits them, and most want to arrive just before the main attraction.
Strategies for managing peaks include:
- Staggered entry times -- Sell tickets with different entry time slots. This spreads arrivals but only works if enforced and if the early arrivals have something to do once inside
- Early bird incentives -- Offer a free drink token, early access to the best viewing areas, or other benefits for arriving before the peak
- Communication -- Send an email to ticket holders the day before with advice on arrival times, what to bring, and what to expect at the door. This reduces confusion and speeds up entry
- Open additional lanes -- Have reserve entry lanes that you can open when queues exceed a certain length. This requires having spare staff available, so plan for it in your budget
Monitor and adapt
Assign someone to monitor queue lengths throughout the entry period. They should have radio communication with the entry team leader and the authority to open additional lanes, redirect queues, or call for extra staff. A queue that looks manageable can become a safety concern within minutes if an unexpected surge arrives.
After the event, review your entry data. Most scanning apps record the time of each scan, giving you a precise picture of your arrival pattern. Use this data to plan better for your next event. If 80% of your audience arrived in a 30-minute window, you know you need more capacity during that period next time.
