QR codes are the small square patterns of black and white squares you see on event tickets, restaurant menus, and product packaging. For event ticketing, they have become the dominant technology for getting fans through the door quickly and securely. But what exactly is happening when that little square is scanned at the venue entrance?

What is a QR code?

QR stands for Quick Response. The format was invented in 1994 by Denso Wave, a Japanese automotive company, originally for tracking vehicle parts during manufacturing. Unlike traditional barcodes that store data in one dimension (horizontal lines), QR codes store data in two dimensions (both horizontally and vertically), allowing them to hold significantly more information.

A standard QR code can store up to about 4,296 alphanumeric characters, though event tickets typically use far less than this capacity. The pattern of black and white modules encodes data that any compatible scanner can read. The three large squares in the corners of every QR code help scanners identify the code's orientation and boundaries, ensuring it can be read at various angles.

What data does a ticket QR code contain?

The QR code on your event ticket does not actually contain all of your booking details stored directly in the pattern. Instead, it typically contains one of two things: a unique reference code or a URL.

In the reference code approach, the QR code encodes a unique string of characters, something like "EVT-2026-A7B3C9-001". When scanned, the venue's system looks up this reference in a central database and retrieves the associated booking details: your name, ticket type, seat allocation, and whether the ticket has already been used.

In the URL approach, the QR code contains a web address that points to a validation endpoint on the ticketing platform's servers. Scanning the code triggers a request to that endpoint, which returns the booking status in real time.

Both methods achieve the same result: the scanning device receives a confirmation of whether the ticket is valid. The key difference from older barcode systems is that the validation happens against a live database rather than simply reading data encoded in the barcode itself. This live validation is what prevents duplicate tickets from being used.

How scanning works at the venue

When you present your QR code at a venue entrance, the scanning device reads the pattern using its camera. The device decodes the data, sends a validation request to the ticketing platform's servers, and receives a response, typically within a fraction of a second. If the ticket is valid and has not already been used, the device shows a green confirmation and the ticket is marked as redeemed. If the ticket has already been scanned or is invalid, the device shows a red rejection.

Modern scanning setups use smartphone apps, dedicated handheld scanners, or fixed-position camera scanners at turnstiles. The smartphone app approach has become particularly popular for smaller events because it requires no specialist hardware. Staff simply download the scanning app, connect it to the event's ticket database, and use their phone's camera to scan codes.

For larger venues and festivals, dedicated hardware offers faster scanning speeds and better reliability. Fixed scanners at turnstile gates can process attendees at high throughput, reducing queue times during peak entry periods.

Static vs dynamic QR codes

This is an important distinction for fans to understand. A static QR code never changes. Once generated, the same pattern of squares always encodes the same data. Most event tickets use static QR codes because they are simple, reliable, and can be stored as images, printed, or added to wallet passes without any issues.

A dynamic QR code changes periodically, typically refreshing every 15 to 60 seconds. The visual pattern shifts, meaning a screenshot taken at one moment will not be valid a few minutes later. Some ticketing platforms use dynamic QR codes as an anti-fraud measure, ensuring that only the person with the live app can present a valid code. This prevents screenshots from being shared or sold.

If your ticket uses a dynamic QR code, you will need to have the ticketing app open and connected to the internet when you arrive at the venue. A screenshot or a printout will not work. The app will regenerate the QR code in real time, and only the current version will validate at the scanner.

What about offline scanning?

One challenge with live database validation is that it requires an internet connection at the scanning point. For outdoor festivals, pop-up venues, and locations with poor mobile signal, this can be problematic.

Many ticketing platforms address this by allowing scanners to download the ticket database locally before the event starts. The scanner can then validate tickets against this local copy without needing a live connection. Periodically, when a connection is available, the scanner syncs its data with the central server to update which tickets have been used. This hybrid approach works well in practice, though there is a small window where a ticket could theoretically be used at two different entry points before the sync catches up.

Why QR codes replaced traditional barcodes

Older event ticketing systems used standard one-dimensional barcodes, the same kind you see on supermarket products. These worked but had limitations. They stored less data, were harder to scan from phone screens, and required precise alignment with the scanner. QR codes can be read from any angle, at greater distances, and from screens with varying brightness levels, making them far more practical for high-throughput venue entry.

QR codes also include built-in error correction, meaning they can still be scanned even if part of the code is obscured, damaged, or displayed on a cracked screen. This resilience is valuable in the real-world conditions of event entry, where phones are held at awkward angles, screens are cracked, and lighting conditions are unpredictable.

For fans, the takeaway is straightforward: keep your QR code accessible, your screen brightness high, and check beforehand whether your ticket uses a static or dynamic code. Knowing these basics means you can approach the venue entrance with confidence, even if you have never used a digital ticket before.
