Connectivity at large events is no longer a nice-to-have. It is critical infrastructure. Cashless payment systems need reliable data connections. Staff use radios and messaging apps for operational coordination. Attendees expect to share content on social media. Live streaming requires consistent upload bandwidth. And increasingly, safety and crowd management systems depend on network connectivity to function.

Getting event connectivity wrong causes cascading failures: payment systems go down, vendors cannot sell, attendees get frustrated, social media coverage drops, and operational communications break down. Getting it right requires planning, investment, and an understanding of the unique challenges that large events present.

Why standard mobile coverage is not enough

Mobile phone networks are designed to serve a distributed population. A single cell tower might serve a few hundred simultaneous users across a wide area. When 10,000 or more people converge on a single site, the local cell infrastructure becomes overwhelmed. Each phone is competing for a limited number of connections, and the result is slow data speeds, failed calls, and timeouts.

This is why events that rely on standard mobile coverage for their operational needs -- cashless payments, ticket scanning, production communications -- are taking a significant risk. Even if coverage is good when the site is empty, performance can degrade dramatically once the audience arrives.

Event connectivity options

Temporary mobile infrastructure

Mobile network operators offer temporary cell infrastructure for events, commonly known as COWs (cells on wheels). These are portable cell towers that can be deployed on site to boost coverage and capacity. They connect back to the network operator's core infrastructure via fibre, microwave link, or satellite.

The advantage is that they boost coverage for all devices on that network without requiring attendees or staff to connect to anything new. The limitation is that they only serve one network operator's customers, so you may need multiple COWs from different operators to cover your entire audience. Costs vary significantly depending on duration, capacity, and location, but expect to pay thousands of pounds per unit per day.

Dedicated event wifi

A dedicated event wifi network involves deploying access points across the site, connected to a central controller and a backhaul internet connection (usually temporary fibre or a bonded cellular link). This provides a network that all attendees and staff can connect to regardless of their mobile operator.

Event wifi can be configured with different tiers: a free public network for attendees (possibly with limited bandwidth per device), a dedicated network for operational staff (with guaranteed bandwidth), and a separate network for production systems (payments, streaming, safety systems) that is isolated from general traffic.

Wired networks

For fixed points -- production offices, main bars, box office, streaming setups -- wired ethernet connections provide the most reliable connectivity. Running temporary ethernet cables across an event site is labour-intensive but eliminates the variability of wireless connections. Critical systems should always have a wired connection as the primary path, with wireless as a backup.

Satellite connectivity

For events in locations with no existing infrastructure (rural festival sites, remote outdoor venues), satellite internet can provide the backhaul connection that feeds the on-site wifi network. Modern satellite services offer reasonable speeds and latency for most event applications, though they are more expensive and less reliable than terrestrial connections.

Planning connectivity requirements

The first step in planning event connectivity is identifying what needs to be connected and what bandwidth each application requires:

  • Cashless payment systems -- Low bandwidth per transaction (a few kilobytes) but require very low latency and high reliability. A single payment terminal needs minimal bandwidth, but 50 terminals operating simultaneously during peak trading hours needs a reliable, low-latency connection.
  • Ticket scanning -- Similar to payments: low bandwidth per scan but high reliability required. Offline-capable scanning apps mitigate the risk of connectivity failure at entry points.
  • Live streaming -- High bandwidth: 5-25 Mbps upload per stream depending on quality. Requires consistent speed without dropouts. This is the most bandwidth-intensive application at most events.
  • Staff communications -- Moderate bandwidth if using messaging apps and data-based radio systems. Reliability is critical for safety-related communications.
  • Attendee social media -- High aggregate bandwidth when thousands of people are uploading photos and videos simultaneously. Less critical than operational systems but important for marketing and event promotion. A good social media experience drives valuable organic event discovery.

Common mistakes

Underestimating capacity

The most common mistake is sizing the network based on average usage rather than peak usage. At a music festival, bandwidth demand spikes when the headliner finishes and thousands of attendees simultaneously try to post content, call friends, and order taxis. The network needs to handle these peaks, not just the average load.

Not testing under load

A wifi network that works perfectly when tested by three staff members may collapse when 5,000 devices connect simultaneously. Load testing before the event, using tools that simulate large numbers of connections, is essential for identifying bottlenecks before they affect real users.

Single points of failure

If your entire connectivity setup depends on one fibre connection and that connection fails, everything fails. Redundancy -- a backup connection from a different provider using a different physical path -- is essential for events where connectivity failure has significant financial or safety consequences.

Ignoring the physical environment

Wifi signal does not propagate well through wet ground, dense crowds, or metal structures (stages, food trucks, containers). Access point placement needs to account for the actual environment at the event, not just the theoretical coverage area. Rain can degrade signal quality significantly, which is particularly relevant for UK outdoor events.

Costs

Event connectivity costs vary enormously based on the size of the event, the location, and the level of service required. As a rough guide:

  • A basic wifi setup for an indoor conference of a few hundred people might cost £500 to £2,000.
  • A comprehensive wifi and cellular boost for a 5,000-person outdoor event might cost £10,000 to £30,000.
  • Full connectivity infrastructure for a major festival with tens of thousands of attendees can cost £50,000 or more.

These costs should be weighed against the revenue at risk if connectivity fails. If your cashless payment system goes down for an hour during peak trading, the lost revenue alone could exceed the cost of a properly specified network.

Working with connectivity providers

Specialist event connectivity providers understand the unique challenges of temporary deployments and high-density environments. When evaluating providers, ask for references from events of a similar size and type to yours. Ask about their approach to redundancy, their response time if something fails during the event, and whether they provide on-site technical support.

The best providers will conduct a site survey before quoting, understanding the physical environment, the expected attendee numbers, the critical systems that depend on connectivity, and the specific bandwidth requirements. If a provider quotes without asking these questions, they are guessing, and that is not a good foundation for your event's critical infrastructure.
