Cashless payment systems at events range from simple card readers at each bar and food stall to fully integrated NFC wristband systems where attendees preload credit and tap to pay. The right approach depends on the size of your event, your budget, and how much control you want over the transaction data.

This guide covers the main options available to UK event organisers, the practical considerations for each, and the trade-offs you will need to weigh up.

The three main approaches

1. Standard contactless card readers

The simplest approach is to equip every vendor with a contactless card reader. Devices from providers such as SumUp, Zettle (owned by PayPal), and Square are available for under £50, with transaction fees typically between 1.5% and 1.75% per transaction. No monthly contracts are required for most basic plans.

Advantages:

  • Low upfront cost
  • Vendors may already own their own readers
  • Attendees use their own bank cards or phone payments -- no onboarding needed
  • Works with Apple Pay, Google Pay, and standard contactless cards

Disadvantages:

  • Requires mobile signal or wifi at every point of sale
  • Transaction speeds can be slow when signal is poor
  • Each vendor processes their own payments independently, making it harder for organisers to get a unified view of spending data
  • The organiser does not control the payment flow or take a commission on transactions

This approach works well for smaller events, food festivals, and markets where vendors are independent traders running their own businesses. It requires the least setup and the least ongoing management.

2. Closed-loop NFC wristband systems

At the other end of the spectrum, closed-loop systems use NFC wristbands or cards as a dedicated payment method within the event. Attendees load credit onto their wristband (either online before the event or at top-up stations on site) and tap to pay at vendors. The money flows through the organiser's system, and the organiser settles with vendors after the event.

Advantages:

  • Transaction speed is very fast (under one second per tap) because validation happens locally
  • Does not depend on mobile signal -- readers work offline and sync when connectivity is available
  • The organiser has complete data on spending patterns: what is being bought, when, and where
  • The organiser can take a commission or fee on transactions
  • Reduces theft and cash handling risks for vendors

Disadvantages:

  • Significant upfront cost for wristbands, readers, and the platform
  • Attendees must go through a top-up process, which creates friction
  • Unspent credit needs to be refunded, which involves administrative overhead
  • Some attendees dislike preloading money and not being able to see their bank balance decrease in real time

Closed-loop systems are most common at multi-day festivals with 5,000 or more attendees, where the data and control benefits justify the investment. The major providers in the UK market include established companies offering end-to-end solutions covering hardware, software, and on-site support.

3. Hybrid approaches

Many events use a combination: NFC wristbands for the main bars and official vendors, with independent food traders using their own card readers. This provides the data and speed benefits of a closed system for the organiser's primary revenue streams while reducing the complexity of onboarding every small trader.

Connectivity is the critical factor

The single biggest risk with cashless systems at events is connectivity failure. Standard card readers need mobile signal or wifi to process transactions. If the signal drops, sales stop. At outdoor events, temporary sites, and venues in rural areas, this is a real and common problem.

Before committing to a cashless approach, you need to assess connectivity at your venue. This means testing actual signal strength at the specific locations where payment points will be, not just checking a coverage map. Signal can vary dramatically within a single site depending on terrain, buildings, and the density of people (thousands of phones competing for the same cell tower capacity will degrade signal significantly).

Options for improving connectivity include temporary mobile signal boosters, dedicated event wifi networks, and satellite-based backup connections. The accessibility question

Going fully cashless raises accessibility concerns. Not everyone has a bank card or smartphone. Some attendees, particularly younger teenagers, elderly people, and those from lower-income backgrounds, rely on cash. The Financial Conduct Authority has noted that around 6% of UK adults rely primarily on cash for day-to-day transactions.

For this reason, many UK events that adopt cashless payment systems maintain at least one cash-accepting point on site, or offer a top-up station where cash can be converted to wristband credit. This is both an accessibility measure and a practical one: it ensures no attendee is unable to buy food or water because they do not have the right payment method.

Data and GDPR implications

Cashless payment systems, particularly closed-loop NFC systems, generate detailed data about attendee behaviour. You can see which bars are busiest at which times, what food is selling, how spending correlates with the entertainment schedule, and much more. This data is commercially valuable for optimising future events.

However, if the payment data can be linked to identifiable individuals (which it can, if wristbands are registered to named attendees), it constitutes personal data under GDPR. You need to be transparent about what data you collect, have a lawful basis for processing it, and ensure it is stored securely. Making the decision

For most UK events under 2,000 capacity, standard contactless card readers are the pragmatic choice. The cost is low, the technology is familiar to attendees, and the setup is straightforward. Ensure you have a cash backup and test your connectivity thoroughly.

For larger events and multi-day festivals, a closed-loop NFC system is worth the investment if you want detailed spending data, faster transaction speeds, and control over the payment ecosystem. Budget for the wristbands, the infrastructure, and the staff to manage top-up stations and refund processing.

Whatever approach you choose, test it before event day. Run a trial with your vendors, simulate poor connectivity, and make sure your team knows the fallback procedures if the technology fails. Cashless systems work brilliantly when they work. When they do not, you need a plan B ready to go.
