Hybrid events combine in-person attendance with live streaming for remote audiences. Here is what UK organisers need to know about making live streaming work as a genuine complement to the physical experience.

The hybrid event model -- combining a physical event with a live-streamed component for remote viewers -- emerged as a necessity during the pandemic and has persisted because, when done well, it genuinely expands an event's reach and revenue potential. When done poorly, it satisfies neither the in-person audience nor the remote one.

The difference between success and failure usually comes down to production quality, audience engagement, and realistic expectations about what the remote experience can deliver.

What hybrid actually means in practice

The term hybrid is used broadly, but in practice it covers a spectrum of approaches:

  • Simple live stream -- A single camera captures the stage or presentation and streams it via YouTube, Vimeo, or a dedicated platform. Remote viewers watch passively. This is the lowest-cost approach and works well for talks, presentations, and panel discussions.
  • Multi-camera production -- Multiple camera angles with live switching, graphics overlays, and professional audio mixing. This is closer to a broadcast production and significantly improves the remote viewing experience. It requires a production crew and more equipment.
  • Interactive hybrid -- Remote viewers can participate: asking questions via chat, voting in polls, joining breakout discussions, or appearing on screen via video link. This requires a platform that supports two-way interaction and a production team managing the integration between in-person and remote elements.
  • On-demand replay -- The live stream is recorded and made available afterwards. This extends the content's lifespan and reaches people in different time zones. It also allows you to sell access to the recording as a separate product.

The technology stack

A basic live stream requires surprisingly little equipment. A modern smartphone on a tripod can capture decent video, and platforms like YouTube Live and Facebook Live are free to use. For events where the remote experience is a ticketed product, you will want something more polished.

Cameras and capture

For professional-quality streaming, you need at least two cameras (one wide shot, one close-up) with a vision mixer to switch between them. Cameras designed for live production, such as those from established broadcast equipment manufacturers, output a clean video feed that can be sent directly to an encoder. Consumer cameras and DSLRs can also work, though they may require additional hardware to convert their output to a format suitable for streaming.

Audio

Audio quality is more important than video quality for remote viewers. A slightly soft video image is tolerable; muddy or echoey audio is not. For presentations, use lapel microphones or headset mics on each speaker. For music or performance events, take a feed directly from the sound desk and mix it separately for the stream (the mix that sounds good in a room does not always sound good through headphones).

Encoding and streaming

The encoder converts your video and audio feeds into a compressed stream and sends it to the streaming platform. Software encoders like OBS (free and open source) run on a laptop and handle most situations well. Hardware encoders offer more reliability for mission-critical streams but cost more. The choice depends on how critical the stream is to your event's revenue and reputation.

The platform

Where the stream is viewed matters. Public platforms (YouTube, Facebook, Twitch) offer maximum reach but limited control over the viewing experience and no built-in ticketing. Dedicated event platforms offer ticketed access, chat, polls, and networking features but have a smaller built-in audience. Some event management platforms now include streaming integration, allowing you to manage ticketing for both physical and virtual attendance in one place.

Making the remote experience worthwhile

The biggest mistake hybrid event organisers make is treating the live stream as an afterthought -- pointing a camera at the stage and expecting remote viewers to have a good experience. The remote experience needs to be designed intentionally.

Remote viewers have different needs from in-person attendees. They cannot move around the space, chat to people next to them, or absorb the atmosphere of the room. To compensate, the stream needs to provide things the in-person experience does not: close-up shots of speakers, on-screen graphics summarising key points, a moderated chat for discussion, and a host or presenter who addresses the remote audience directly.

Having a dedicated host for the stream -- someone whose job is to welcome remote viewers, read out their questions, and bridge the gap between the physical room and the online audience -- makes a significant difference to engagement. Without it, remote viewers feel like they are eavesdropping on someone else's event.

Monetising the live stream

There are several approaches to generating revenue from a hybrid event's streaming component:

  • Paid stream access -- Sell tickets for the live stream at a lower price than in-person attendance. Typical pricing ranges from 20% to 50% of the in-person ticket price.
  • Freemium model -- Stream the main stage for free to maximise reach, but charge for access to additional content, workshops, or networking sessions.
  • Sponsorship -- The stream offers additional sponsorship inventory: pre-roll videos, branded lower thirds, sponsored chat messages, and banner ads on the viewing page.
  • On-demand sales -- Sell access to the recording after the event. This works particularly well for educational and conference content that retains value over time.

Bandwidth and infrastructure

Reliable internet connectivity is essential for live streaming. You need a consistent upload speed of at least 5-10 Mbps for a single HD stream, and more for higher resolutions or multiple simultaneous streams. Event venues often have shared wifi that is unsuitable for streaming.

A dedicated, wired internet connection for the streaming setup is strongly recommended. If this is not available at the venue, a bonded cellular solution (which combines multiple 4G/5G connections for greater reliability) can work, though it adds cost and is dependent on mobile coverage at the venue.

Test your connectivity thoroughly before the event, ideally during a site visit at a similar time of day and day of week, since network load varies. Have a backup plan if the connection fails: a pre-recorded message to display while you troubleshoot, or the ability to switch to a lower resolution stream that requires less bandwidth.

Is hybrid right for your event?

Hybrid works best for content-driven events: conferences, talks, panels, workshops, and educational sessions. The value of these events is primarily in the content, which translates well to a screen.

It works less well for events where the value is in the experience: festivals, parties, immersive theatre, food and drink events. You can stream a music festival, but the remote experience is fundamentally different from being there. That does not mean it has no value, but the pricing and expectations need to reflect that difference.

Before investing in a hybrid setup, ask yourself: would I pay to watch this event on a screen? If the honest answer is no, your audience probably feels the same way. Focus on the in-person experience and consider whether post-event content (highlights, clips, interviews) might serve your remote audience better than a full live stream.
