How Robotics Might Change Event Operations

When most people think about robotics at events, they might imagine humanoid robots greeting guests or serving drinks -- the kind of novelty that makes for good social media content but has limited practical value. The reality of robotics in event operations is likely to be far more mundane, but also far more impactful. The robots that could genuinely change events are not the ones that look human; they are the ones that handle the unglamorous but essential tasks that keep events running smoothly.

Where robotics makes sense

The event operations tasks most suited to robotics are those that are repetitive, physically demanding, time-sensitive, or difficult to staff. Several areas stand out.

Cleaning and waste management represent perhaps the most obvious opportunity. Large events generate enormous amounts of waste, and keeping venues clean during and after events is a significant operational challenge. Robotic cleaning systems -- autonomous floor cleaners, waste sorting machines, and litter collection robots -- could reduce the labour required while improving cleanliness standards. Some airports and shopping centres already use autonomous cleaning robots, and the technology could be adapted for event venues.

Bar and beverage service is another area where automation could have a significant impact. Automated cocktail makers, self-pour beer systems, and robotic bar assistants could reduce queue times -- one of the most common complaints at large events -- while potentially reducing staffing costs. Several companies are already developing and trialling these systems, and early results suggest they can significantly increase throughput at busy bars.

Logistics and setup offer further possibilities. The physical work of setting up and striking event infrastructure -- moving staging, arranging seating, installing barriers -- is labour-intensive and time-sensitive. Robotic systems that can assist with heavy lifting, autonomous vehicles that transport equipment around large sites, and even drones that install overhead rigging could all reduce setup times and improve safety.

Security and crowd monitoring

Security is an area where robotics could play a growing role, though it also raises significant ethical questions. Robotic patrol systems equipped with cameras and sensors could monitor large venues continuously, identifying potential issues -- unattended bags, crowd density hotspots, restricted area breaches -- and alerting human security staff.

These systems would not replace human security personnel but could extend their capabilities. A team of human guards supplemented by robotic monitoring could cover a larger area more effectively than humans alone. The data collected by robotic systems could also improve post-event analysis and future planning.

However, the use of robotic surveillance at events raises legitimate privacy concerns. Attendees may feel uncomfortable being monitored by autonomous machines, and the data collected could be misused if not properly protected. Any deployment of robotic security systems would need to be transparent, proportionate, and subject to clear data protection policies.

The staffing context

The potential of robotics in event operations cannot be separated from the staffing challenges the industry currently faces. Many event operators report difficulty recruiting and retaining staff for operational roles, particularly in areas like bar work, cleaning, and stewarding. Low pay, unsocial hours, and the temporary nature of event work make these roles unattractive to many potential employees.

In this context, robotics could help address genuine staffing shortages rather than simply displacing workers. If robots handle the most repetitive and physically demanding tasks, human staff can be redeployed to roles that require interpersonal skills, judgement, and flexibility -- areas where human workers add the most value.

That said, the deployment of robotics in any industry raises legitimate concerns about job displacement. The events sector employs a large number of people in operational roles, many of whom are from demographics -- young people, students, those in insecure employment -- that are already economically vulnerable. Any transition towards greater automation needs to be managed carefully, with attention to the social consequences.

The technology timeline

It is important to be realistic about the timeline for robotics adoption in events. While some applications are available now, widespread deployment faces several barriers. The cost of robotic systems remains high, particularly for the kind of rugged, adaptable robots needed for the demanding environment of live events. Most event venues are not designed for robotic operation, and retrofitting them could be expensive.

The temporary nature of many events also poses challenges. Robots designed for permanent installations -- factories, warehouses, airports -- may not adapt well to the constantly changing layouts and conditions of event sites. Developing robots that can operate effectively in the unpredictable, crowded, and often chaotic environment of a live event is a significant engineering challenge.

Weather is another factor. Outdoor events in the UK expose equipment to rain, mud, wind, and temperature extremes. Robots designed for climate-controlled indoor environments may not perform reliably in these conditions.

A gradual evolution

The integration of robotics into event operations is likely to be gradual rather than revolutionary. We will probably see adoption in specific, well-defined tasks where the technology is mature and the business case is clear, before broader deployment across event operations.

The events that pioneer robotics will likely be large, well-funded operations that can absorb the upfront costs and have the technical expertise to manage the integration. Over time, as costs fall and technology improves, robotics could become more accessible to smaller events.

What seems certain is that the operational side of events will become increasingly technology-assisted. Whether through robotics, automation, or other forms of technology, the way events are run behind the scenes is likely to change significantly in the coming decade. The challenge for the industry is to embrace these changes while maintaining the human warmth and creativity that audiences value most.
