What Is Door Staff

4 min read

Definition

Door staff are team members who scan tickets at event entrances. On Tickts, organisers can invite people to their team with the door staff role, giving them access to the scanner without access to financial or management features.

What Door Staff Can Do

  • Access the ticket scanner for assigned events
  • Scan QR codes to validate tickets
  • See scan results (valid, already used, invalid)
  • Use offline mode when internet is unavailable

What Door Staff Cannot Do

  • View financial data or revenue
  • Modify events or ticket types
  • Process refunds or manage orders
  • Access the organiser dashboard

Setting Up Door Staff

In your organiser dashboard, go to Team and invite team members by email. Set their role to door staff. They will receive an invitation and can access the scanner immediately. You can add or remove door staff at any time.

The Role of Door Staff at Events

Door staff — sometimes called stewards, marshals, or security — are the people responsible for managing entry to an event venue. Their primary role is to verify tickets, control access, and ensure a safe environment for all attendees.

At grassroots events, door staff are often volunteers from the club or community. At larger events, they may be professional security personnel with SIA (Security Industry Authority) licences.

Door Staff Responsibilities

  • Ticket scanning: Using the Tickts scanner to verify QR code tickets at the entrance. Each scan takes about one second and confirms whether the ticket is valid, already used, or fraudulent.
  • Age verification: For events with age restrictions (typically 18+ for events serving alcohol), door staff check ID against the ticket holder name.
  • Capacity monitoring: Tracking how many people have entered the venue to ensure capacity limits are not exceeded. The Tickts live attendance dashboard helps with this.
  • Safety and security: Ensuring prohibited items are not brought into the venue and managing any incidents that arise during the event.
  • Customer service: Helping attendees with directions, answering questions, and resolving issues like lost tickets or booking problems.

Door Staff Access on Tickts

Organisers can create door staff accounts on Tickts with specific permissions:

  • Scanner access: Door staff can scan tickets and see entry confirmations, but cannot view financial data or modify events.
  • Attendee lookup: If a fan cannot present their QR code, door staff can search by name or email to verify the booking.
  • Manual check-in: For attendees with accessibility needs or technical issues, door staff can manually check them in through the system.
  • No financial access: Door staff accounts are restricted to entry management only. They cannot see revenue, process refunds, or access organiser settings.

Best Practices for Door Staff

  • Ensure your phone is fully charged and the scanner is loaded before doors open
  • Have a stable internet connection (WiFi or mobile data) for real-time ticket validation
  • Know the event capacity limit and monitor the attendance count
  • Have a backup plan for attendees who cannot present their QR code (name lookup, printed ticket acceptance)
  • Communicate with the organiser about any issues during entry

Frequently Asked Questions

Do door staff need their own Tickts account?

Yes. The organiser creates a door staff account for each person, giving them scanner access and a login. This ensures proper access control and audit logging.

Can door staff sell tickets at the door?

Door staff accounts are focused on scanning and entry management. For walk-up ticket sales, use the Tickts box office mode on a separate device with organiser-level access.

How many door staff do I need?

A good rule of thumb is one scanner per 200 expected attendees per hour. For a 500-person event with a 1-hour entry window, two to three scanners should handle the flow comfortably. Larger events with multiple entrances need more.
